Description

To provide a comprehensive secretarial and administrative service to the G.P.’s and the practice, to ensure efficiency in patient care.

Operations:
• To accurately record and prepare referral letters and reports, from dictation, or written notes, ensuring that all letters are signed according to GP availability and appropriate deadlines are met.
• To provide secretarial support to the practice, as and when required.
• To liaise with hospital, community trust etc, arranging and expediting appointments and making general enquiries and follow ups as required.
• Responsible for appointing referrals to appropriate clinics and liaising with patients at all times.
• To extract, collate and summarise data to enable preparation of written or statistical reports/letters.
• Answer the telephone in a polite and helpful manner, taking appropriate measures to ensure the provision of an effective service.
• To deal with all patient queries in a professional manner, efficiently and courteously, ensuring distressed/challenging patients or patient complaints are dealt with in a sympathetic and tactful manner, and where necessary to be escalated to Practice Manager.
• Ensure patient information is recorded/retrieved on the computer system accurately and promptly.
• Undertake all general administration duties as required, such as filing and extracting records, distributing letters/documents efficiently and promptly, ensuring that practice procedures are followed at all times.
• Deal appropriately with instructions and queries from management, Doctors and Surgery staff.
• Any information regarding unresolved/urgent matters to be left readily available for any incoming colleagues to identify and resolve.
• Work within Confidentiality, Data Protection, Health and Safety and Fire policies, referring to Practice Manager when in doubt.
• To communicate effectively with GP’s, Health Professionals, Hospitals, Patients and Relatives and Nursing and Surgery staff, both verbally and in writing.
• Establish a good rapport with management and colleagues.
• To work as a team member with fellow colleagues.
• To participate in team meetings, and initiate ideas to improve the working environment.
In addition, you may be required to undertake such other duties within the practice, as may reasonably be required of you.

Requirements

• Ability to organise work effectively and efficiently.
• Ability to plan time, prioritise workload and work to deadlines.
• Can work as part of a team and alone with minimum supervision.
• Advanced keyboard and secretarial skills, requiring high degree of speed and accuracy.
• Knowledge of medical terminology.
• Excellent verbal and written communication skills.
• Flexible approach to work.
