Description

Operations
• To welcome patients in a friendly, efficient and helpful manner, and handle all queries efficiently and courteously, according to practice procedures.
• Answer the telephone in a polite and helpful manner, taking appropriate measures to ensure the provision of an effective service.
• To deal with all patient queries in a professional manner, which includes registering patients, arranging appointments, ordering ambulances, and ordering/distributing prescriptions.
• Distressed/challenging patients or patient complaints to be dealt with in a sympathetic and tactful manner, and where necessary to be escalated to Practice Manager.
• Where patient requires a home visit, record accurate information and pass on to Doctor.
• Ensure patient information is recorded / retrieved on the computer system accurately and promptly.
• Undertake all general administration duties as required, such as scanning clinical letters on to patients records, filing and extracting records, opening mail, completing claim forms, preparing records/documents for clinics and distributing letters/documents efficiently and promptly, ensuring that practice procedures are followed at all times.
• Deal appropriately with instructions and queries from management, Doctors and Surgery staff.
• Any information regarding unresolved/urgent matters to be left readily available for any incoming colleagues to identify and resolve.
• Arrange recall of patients, as and when required.
• Receive samples from patients, and ensure the correct forms are completed correctly and accompany them to the laboratory.
• Maintain a tidy working environment, ensuring that stock levels of stationary, documents and bottles etc are maintained in the consulting rooms/reception area.
• Open and Close the premises when necessary, ensuring that the telephone system is diverted to answering service/reconnected to normal service and all equipment is shut down and switched off.
• Work within Confidentiality, Data Protection, Health and Safety and Fire policies, referring to Practice Manager when in doubt.
• To communicate effectively with GP’s, Health Professionals, Patients and Relatives and Nursing and Surgery staff, to ensure the efficient running of the practice.
• Establish a good rapport with management and colleagues.
• To work as a team member with fellow colleagues.
• To participate in team meetings, and initiate ideas to improve the working environment.
In addition, you may be required to undertake such other duties within the practice, as may reasonably be required of you.

Requirements

• Ability to organise work effectively and efficiently.
• Ability to plan time, prioritise workload and work to deadlines.
• Can work as part of a team and alone with minimum supervision.
• Advanced keyboard and secretarial skills, requiring high degree of speed and accuracy.
• Knowledge of medical terminology.
• Excellent verbal and written communication skills.
• Flexible approach to work.
